Head of Project Management Office EMEA

Fundamental Mission Definition

The Stonebranch Project Management Office is the central European project authority for managing, controlling and tracking all European service projects. Closely working together with the local teams in the sales organization and with the corresponding professional services teams.

The Head of the Project Management Office will centrally plan, built, run and control the project activities for the EMEA based projects.

In the context of observation, controlling and the resulting reporting, the dedicated project teams at the customer locations have to report the status of the individual customer projects to the Project Management Office, which then creates the status overview for the entirety of the projects, programs and portfolios under its responsibility. The PMO will also handle all project related escalations in close communication with the project teams and the respective management.

The PMO will also be responsible to initiate the expected corresponding corrective control measures in close consultation with the responsible management.

Responsibilities The Head of the Project Management Office is responsible for the support of the organization. The candidate will:

  • Act as project manager and own customer relationship in coordination with sales.
  • Build project management maturity across the services organization.
  • Serve as the authority on workload automation project management methods and practices.
  • Report against contracts on a project level for executive level.
  • Develop, maintain and update project monitoring KPIs.
  • Be the focal point of the central accounting reporting methodology for recording work-in-progress and percentage-of-completion (PoC) for all long-term contracts. Escalate deviations and recommend suitable measures for correction.
  • Manage and monitor project scheduling in close communication with the professional services organization.
  • Manage and monitor resource allocation in close communication with the service and sales organization.
  • Liaise with project teams to establish mitigation and corrective actions upon deviation from project baseline.
  • Liaise with the sales organization to manage staffing needs against closing/winning opportunities in the projects funnel.
  • Liaise with sales, service and finance department to forecast workload automation professional services profitability.
  • Be the owner of the relevant SoW’s (statement of work) and take responsibility that obligations from customer are met.

  • Strategic Project Planning and Goal Setting
    The PMO plays an integral role during the initial planning stages for any project. He creates structured schedules and project plans based on the project goals, resources needed, potential risks, time to market and budget constraints. By partnering with colleagues in different roles to assess the workloads and impacts for different departments, the PMO is able to identify dependencies and possible issues across teams. During this planning process, the PMO will develop and communicate clear and actionable deliverables, or activities to be completed. Each of these activities should have an identified owner, the person who will carry this out, as well as a clear timeline and success criteria.

  • Project Execution and Governance
    The project execution and governance aspect of the PMO role is the most well-known. It involves tracking deadlines, deliverables, resources, and timelines throughout the project process. The PMO holds owners accountable for their commitments and will conduct project team meetings to provide status updates and identify and resolve issues. By managing the overall process of carrying out the project, the PMO is able to adapt plans based on evolving needs, conditions or issues that may arise and ensure on-time, high-quality delivery in accordance with the stated project goals.

  • Project Documentation and Archives
    Throughout the course of a project, the PMO works with project teams to ensure documentation, supporting materials, and project plans are updated and readily available for internal teams and senior leaders. Upon completion of a project, the PMO compiles and documents project information. Historical information on projects is used not only for reference for future projects but also to assess the project delivery, completeness, and alignment with stated objectives and goals. For regulated industries, project documentation is extremely important in case of an audit. All information will be archived in one place so it is accessible to the appropriate team members and senior leaders.

  • Project Prioritization and Portfolio
    Alignment at any given time, the PMO may be managing multiple projects for the organization, each with varying priority, timelines and resource requirements. Given their broad scope both in working with colleagues from different departments and across multiple projects, PMOs are responsible for balancing projects and communicating priorities internally. Often, the PMO will create a project dashboard, which outlines both the projects currently underway and those on the backlog, with their priority according to the overall business objectives. Because PMOs make this information readily accessible within the organization, project teams and senior leaders are able to quickly see where attention and resources are currently being placed and adjust their workflows accordingly.

  • Process Improvement and Standards Development
    As they are involved from project inception through to completion and review, PMOs are able to identify processes and activities to improve. Since PMOs have a broader scope, understanding the basic processes and standards of different departments across the organization, they are better equipped to identify workable process standards and best practices for how teams should approach projects. Once it has identified a process improvement initiative, the PMO implements, documents and communicates the new procedures to the rest of the organization.


  • Interfaces with: end customers, project managers (when allocated for bigger conversions) and solution consultants, sales- and account managers, sales support sxperts, professional services experts, finance department customers and business partners.
  • Contribute to Stonebranch’s service and implementation projects as assigned.
  • Contribute positively to a productive, creative, professional and quality oriented team environment.

Qualifications/Expectations Head of Project Management Office EMEA

  • Solid background in workload/infrastructure automation and/or IT software implementation projects.
  • Technical understanding/background in the area of workload Automation and/or infrastructure automation.
  • Ideally basic knowledge about one or more of the competitive solutions.
  • Ability to solve problems systematically and efficiently.
  • Customer oriented service attitude.
  • Excellent communication and analytical skills.
  • High degree of assertiveness and power of persuasion.
  • Strong command of English and German, both written and verbal.
  • At least 3–5 years of experience in a comparable role in an agile and highly flexible organization.
